Publisher: BidReady Kenya | Tender Radar, a Mindsumo Limited service. This is independent practical guidance, not a substitute for the procuring entity's instructions.
Start with the exact tender document, not a copied checklist
Different procuring entities and categories can require different forms, evidence and submission methods. First confirm the tender reference, bid closing date and time, reservation conditions and the latest addenda on the original official source. A forwarded advert is a discovery lead, not the operative instructions.
Build a four-column compliance evidence matrix
For each requirement, record four things: the exact source wording and page, the evidence you have, whether it actually answers the requirement, and the action still needed. Use the current version of the tender, not last year's successful bid.
| Tender wording | Evidence to look for | Review question | Next action |
|---|---|---|---|
| “Submit a signed declaration” | Correct declaration form with required signature | Is it present and signed by an authorized person? | Check the exact signature requirement |
| “Provide valid licence” | Current licence for the stated activity | Does the document cover this procurement and date? | Verify type and validity |
| “Bid security, where required” | Specified instrument and terms | Do amount, issuer, wording and duration match? | Follow the current tender's security terms |
Examples are illustrative. Not all these requirements apply to every Kenyan tender.
What AI can contribute
AI-assisted analysis can help extract potentially mandatory items, surface inconsistencies and frame questions for review. A sound workflow should tie each finding back to visible source wording and record the evidence actually provided. It should not invent missing source text, pretend unprovided documents exist or declare a bid compliant.
Where AI can go wrong
Optical extraction can miss clauses in scanned or unusually formatted documents. An AI model can misread tables or confuse issue dates with submission deadlines. It can also misunderstand instructions affected by a recent addendum. For that reason, always independently check cited source passages and the official notice before making a final decision.
Check before you pay for any automated review
Ask whether the provider examines the current tender, whether the service has a clearly defined scope and price, whether payment confirmation is independently verified and whether reports are subject to quality controls. Avoid anyone promising a guaranteed award, secret procuring-entity access or 100% compliance.
Where BidReady fits
BidReady Kenya offers AI-assisted short-tender document checks with source-grounded safeguards as an optional readiness aid. The KSh 1,500 Preflight applies only to eligible scoped requests after capacity assessment. It does not prepare or submit your whole tender. Report delivery for real paying customers is still undergoing operational validation.
Try the free 10-point checklist first. Then watch the illustrated Telegram bot tutorial before requesting a private scope check.

Independent service. No government affiliation, compliance certification or contract award guarantee.
Current official-source reference
PPRA currently lists standard documents for goods, building works, non-consulting services, requests for proposals, information technology. Compare the actual current tender clauses, signed forms, appendices and addenda to the evidence you possess. AI may help organize an evidence matrix but cannot certify compliance. See PPRA standard tender documents and PPIP original notices.
Official PPRA reference content checked separately. PPIP live content could not be independently verified during this source check. Always verify the current specific tender; no new procurement rule or guaranteed outcome is asserted.
